What this is
Quiet Invoice is one HTML file. Open it in your browser on a Windows, Mac or Linux computer (Chrome, Edge and Firefox are tested; Safari opens it, see below) and it works: no install, no account, no internet, nothing is uploaded anywhere. Your data stays in this browser on this device.
First five minutes
- Settings: your business name, address, tax ID label and number, logo, currency, paper size, tax names and default rates, numbering, default terms and payment instructions. Save.
- + Invoice or + Quote: fill in the client, add lines, watch the preview on the right update as you type.
- Save (or Ctrl/Cmd+S) puts the document in your Documents list and advances the number.
- Print / PDF: your browser's print dialog opens. Choose "Save as PDF" as the printer to get a PDF file. Only the document prints, never the form.
- Backup → Load sample data shows a filled-in example business if you want to see everything working first.
Clients and items
Save a client once and pick them from the list on every document. Save your services or products as items with a rate and unit; add them to a document from the "From item list" menu. Editing a client or item later does not change documents you already saved: each document keeps its own copy of the details.
Quotes to invoices
A quote has a "Valid until" date and can ask for a deposit. When the client says yes, open the quote and click Convert to invoice: a new invoice is created with the next invoice number, the quote is marked accepted, and any deposit you entered as received carries over as a payment. The invoice shows "From quote Q-0001" so both stay linked.
Taxes and discounts
- Two tax rates are available on every document (for example GST and PST, or VAT only). Set the names and default rates in Settings; override per document.
- Tick "compound" if the second tax is charged on the first (some Canadian provinces used this; check what applies to you).
- Each line has a Tax checkbox. Untick it for exempt items; the document then labels those lines "(no tax)".
- A percentage discount comes off the subtotal and is shared proportionally across taxable and non-taxable lines before tax is worked out. Shipping is added after tax and is not taxed; if your shipping is taxable, add it as a taxable line instead.
- Rounding: every amount is rounded to the cent at the line level, then totals are added from rounded lines, the way most accounting software does it.
Numbering
The next number for each type is in Settings. Saving a new document with the suggested number advances the counter. You can type any number you like; the app warns if it is already used. Padding controls the zeros: pad 4 gives INV-0001.
Where the data lives and how to keep it safe
- The browser stores everything in its local storage for this file. Clearing site data, using a private window, or opening the file from a different folder can hide it, so download a backup from the Backup page whenever you have done real work.
- Safari may not allow local storage for files opened from disk. If you see the yellow warning, use Backup → Download app + data: it saves a fresh copy of this app with your data embedded. That copy is your save file: open it next time and re-download it after each session. Chrome, Edge and Firefox keep data between visits (tested).
- In Chrome and Edge every copy of this file on the same computer shares one set of data, so keep one copy per business.
- Restoring a backup replaces what is in the browser. Backups are plain JSON files you can open in any text editor.
Printing tips
- Paper size is set in Settings (Letter or A4); the print dialog should match it. Turn on "Background graphics" in the print dialog if the coloured table header is missing.
- Long documents break across pages between lines. Keep the notes and terms short for a one-page invoice.
- A logo under 400 KB keeps the file small. PNG with a transparent background looks best.
What it is not
It is not accounting, tax or legal advice, and it does not file anything anywhere. What must appear on an invoice differs by country and by whether you are registered for sales tax or VAT. The app lets you label the tax ID field and the document heading yourself (for example "Tax Invoice" and "ABN" in Australia, "VAT No." in the UK, "GST/HST No." in Canada) so you can follow the rules that apply to you.
Keyboard
Ctrl/Cmd+S saves the open document. Tab moves through the form. Enter inside a description box adds a second line that prints as a smaller note under the item.
